What you need to take care when you join a tour to –

Clear your head about the adventure tour you are about to join. You are about to sign up for an absolute adventure. You will take a stand against nature, extreme cold and unpredictable climate. The ride will be exhausting, tiring and full of uncertainties.

 

You must well be informed and well-equipped for the adventure.

1. Payment Policy
   In case, the balance payment is not made by the date specified in our Email, your booking will be treated as cancelled, and the booking amount will be forfeited.
2. Standard Cancellation Policy (Deductions)
   Non-Refundable Amount- Booking Amount
   45 to 30 days before the tour – 25 %
       Below 29 days or not travelling – 100 %

A participant can, at any moment before the commencement  day of the tour, cancel your registration  for that particular tour, it is, however, important that we receive the information about your travel cancellation in writing.

The tour could be cancelled or delayed by EscapeArc before the commencement day, in case minimum participation is not attained, in such a case we shall inform you immediately and also return the total amount collected from you.Depending on how near we are to commencement day, If in case booking are done and tour has been cancelled,then the refund will be initiated after the deduction booking amount.

 

1. Standard Refund Policy
   – NO REFUND OF THE GST AMOUNT IN ANY CASE.
   – Registration/Booking amount will be non-refundable (Forfeited) and the balance amount after deducting the registration amount and GST amount, Balance will be refunded the same will be processed in 30 working days after confirmation from our side and the amount being becoming eligible for a refund.
   – In case of a no-show to the starting point for any indifferent reasons, EscapeArc and malang man are not liable to refund any amount paid.

 

 

 

 

 

Destination Specific ‘Must Know’ Information–

Ladakh / Zanskar

1. When flying to Leh directly , take the necessary actions to cope with sudden changes in altitude. You are advised not to roam around upon reaching the hotel on day 1. Keep your body hydrated. Keep a safe distance from alcohol and smoking on the arrival day at Leh.
2. Keep necessary clothing essential with you for the tour. Do not rely on shopping for the necessities on arrival in the local market.
3. If you have a pre-existing heart condition or lung issues, visit your doctor and discuss your travel plan beforehand. Bring the necessary medicine to the tour from your hometown.
4. Keep ample time gap while booking the return flight from Srinagar / Delhi. You must reach 3 hours prior to the departure time from the Srinagar airport.

 

Spiti Valley

1. Please confirm about the check-in and checkout time with the team of the chandigarh hotel.
2. Keep raincoats and winter clothes ready for the tour.
3. Payment in SPITI should be Cash Only
   
   

Bhutan

1. Reach Siliguri airport (Bagdogra)or Hotel on the specified time.
2. Please share the necessary documents with the team required to procure your visa.
3. Carry the original documents (submitted) and support documents.

 

General Pre-Tour Instructions

1. Kindly have a clear mindset before joining ride. We are not conducting an ordinary tour but an adventure tour – an expedition. You must be ready to accept the limited availability of resource and be happy with what you get, be it food, accommodation or services. Contact the team if you have any further doubt.
   2. Please plan your flight & Bus to the start point and the end time with appropriate time gap to avoid an uncomfortable situation.
2. Airport pick-up and drop will be done in group (In a coach or tempo traveler) if mentioned in the itinerary sent. Individual pick up or drop request cannot be fulfilled or will be on chargeable basis with a request on email.
   4. Sleeping bags are not required at the tents as the mattress and blankets shall be provided.
   5. The company holds right to discounts and pricing policy. EscapeArc may discriminate in prices for a group or individual as per discretion. No queries or objection would be entertained.
3. Trolley Bags are strictly not allowed. Also do not request even to make it a special case in all Budget & Backpacking tours.
   7. Please minimise the luggage to a single bag pack. Kindly understand the limited luggage capacity issue and avoid bringing unnecessary stuff on the trip. To be precise, your total baggage per person shall not be more than 15 Kgs. In case, it exceeds, it will be charged Rs. 1000/- per Kg in all Budget & Backpacking tours.
   8. The tour could be cancelled or delayed before the commencement, in case minimum participation is not attained. In such a case we shall inform you immediately and also return the total amount collected from you. We are not responsible for any flight / Train cancellation charges which you may have to incur arising out of this situation.
   9. We request you to keep buffer days in hand.
   10. Please carry any two of these on the tour – Aadhar Card, Voter ID, Passport and Driving License compulsory for all Riders.

 Let’s break down the specifics for both motorcycle trips and backpacking/SUV tours:

For Motorcycle Trips:

Riding Gear Charges:

Rented riding gear is not covered in the package.

Contact the team to confirm availability and book the gear.

Clear the due rent before the trip.

Accessories:

Costs for accessories (ropes, bungee cords, jerry cans, etc.) are not included.

Riders can purchase these separately as needed.

Adaptability and Spirit:

Motorcycle trips require adaptability.

Be prepared for extreme situations (cold showers, unplanned changes).

Embrace the adventure with a positive spirit.

For Backpacking/SUV Travelers:

SUV Provision:

SUVs provided if there are at least three travelers in premium tours.

Otherwise, travelers join the support vehicle.

Backpacking Tours:

Not for everyone . Why do we say that? Because one has to be adaptable to every condition on such tour —requires adaptability.

Expect basic facilities (homestays, hotels).

Be flexible with itinerary changes due to natural reasons.

Remember, every adventure shapes lasting memories!

Code of Conduct on tour

• Inappropriate stuff towards female travelers, whether it’s talking smack or getting handsy, is a big no-no. If you do that, EscapeArc is gonna have to ask you to leave the tour, and EscapeArc won’t be giving you your money back. Just keep it cool, okay?
• Everyone’s here to have a good time, so don’t go ruining it for others. If you’re being a party pooper or making things difficult, EscapeArc might have to tell you to sit out the rest of the tour without a refund. We’re pretty strict about this.
• EscapeArc or Tour Operator can’t always put everyone in the same hotel or tent, so sometimes we’ve gotta split the group up. We’ll try to keep it fair, but it’s just how it goes sometimes.
• Safety first, folks! EscapeArc is not gonna cover anything that happens if you’re being careless or acting like a daredevil. If you get hurt doing something stupid, it’s on you, EscapeArc is not responsible for any accidents which occur in or around irresponsible behavior or for any accidents..
• EscapeArc expect you to stick to the rules and not be a speed demon or a troublemaker. If you mess up the tour for everyone else, EscapeArc or Tour Operator might just have to show you the door without giving any Refunds. And what we say goes, no ifs, ands, No buts about it.
• EscapeArc or Tour Operator will look out for your luggage, but you’ve gotta help us out too. Make sure you get it in and out of the vehicle because if you forget it, you’re the one who’s gonna have to deal with it.
• Keep a close eye on your wallet, jewels, and gadgets. If something goes missing, it’s your bad luck, not our problem. We’re not giving you back any money for lost stuff.
• If you decide to take a detour or stay longer at a place, that’s cool, but you’ll have to pay for your own hotel or ride after that. The package deal is for the stuff we’ve got planned, so any extras are on you and not to be paid by EscapeArc.

 

Terms Specific to Motorcycle Tours

So, if you or your buddies decide to call it quits on the tour before you hit the final spot, you’ll have to pay for shipping your bike to the end point. That’s right, the cost of getting it there without you comes out of your pocket or the security deposit you gave us.

Now, don’t worry about the usual wear and tear stuff like a snapped clutch wire or brake wire it can be replaced as per availability n paid by the customer. But if you go full throttle and break something big, like smacking into something and wrecking the lights or messing up the gears, you’re on the hook for that. Basically, we won’t charge you for the little stuff that happens naturally, but if you go wild on the ride, you’ll need to pay for the big fixes. And if you totally trash the bike, you’ve got to pay the difference between what you can get from insurance and buying a new one.

These bikes are pretty sturdy, but they can still break down, especially on those rough roads. Our mechanic will do their best to fix up, but it might take longer than you’d like. If it’s something that can’t be fixed, you’ll have to sit in our backup van and we’ll take you to the nearest big town to get sorted. Sorry, but no refunds for that, buddy.

Sometimes, there’s drama with the Manali & Leh Bike Rental Association, and it might mean you can’t get a bike for part of the trip. If that happens, you’ll have to ride in a car or camper instead, and we can’t give you back any money for missing out on the bike fun. And if you’re like, “forget it, I’m out,” because of this, sorry again, but no refunds. Just keep in mind, this isn’t something we can control, it’s just how it goes sometimes.

Code of Conduct in Force Majaure Situation

• The Tour Manager / Road Captain is always right.
• The tour manager / Road Captain reserves the right to take call for trip extension or to change the route on his own discretion. The captain is always right.
• The management cannot control road conditions, weather, natural, or political forces. These can change in moment hence the tour manager will take reactive response for the safety and wellness of the group. Non-co-operation on such times may pose risks to lives of rest of the group and hence can attract an immediate termination of tour of such individual. No refunds shall be provided to them by EscapeArc.
• There may be changes in the route and final program due to any unforeseen circumstances. We will not entertain complaints of skipping destination if the decision improves the safety of the whole group.
• Any additional cost of transportation/accommodation arising due to such extension shall be borne equally by the group & is payable on the spot.
• The full amount will be forfeited in cancellations on the riders’ end due to natural disasters or political mishap or turmoil’s.
• EscapeArc shall not be responsible for missing flight, rescheduling cost or post-ride travel plans losses arising due to trip extension or cancellation.
• When it is unsafe to travel on motorcycle (due to a natural calamity or political turmoil), Arrangements of four Wheelers will be made to the closest safe location. The expenses shall be paid equally by all the riders. (Specifically for the bikers) and not by EscapeArc.
